Crown Records Management Introduces Innovative Billing System


Crown Records Management recently introduced RMi, Records Management invoicing, an innovative customer invoicing software tool. Entirely web-based, RMi will provide Crown’s Records Management clients with instant online access to new invoices, invoice history and payment status. It will give them the ability to raise queries with Crown directly against the invoice and track the resolution of those issues in real-time.

Chris Davis-Pipe, Crown Worldwide Group IT Manager commented "RMi is the first product to be introduced by Crown using our IBM WebSphere J2EE and Microsoft SQL Server 2005 software platform. It is the first realization of Crown’s adoption of Java to refresh our industry-leading technology solutions and keep Crown at the cutting edge."

Clients will now be able to receive invoices in any format that they choose: via hard copy, electronic PDFs via email or by visiting the password-protected RMi website. Using templates, RMi has the ability to support an unlimited number of invoice layouts and will be able to generate invoices in an ever growing number of languages.

RMi integrates all the features of a full invoicing system to O’Neil Software’s RS~SQL™ Records Management System. O’Neil Software’s RS~SQL™ is the leader in real-time, bar code inventory and tracking systems for the records management industry. As strategic partners, Crown Records Management has implemented O’Neil Software’s RS~SQL™ system into their records management facilities across Asia, Europe and the United States.

"Invoices will be automatically generated directly from the inventory tracking database and go through a predefined workflow. This system will eliminate the manual process, reduce the chance of human error and improve invoicing accuracy," remarked Philip Britton, Crown Records Management Business Development Manager. The system will generate auditable invoices, credit notes and debit notes. All RMi transactions are tracked and traceable.

RMi is being rolled out throughout 2005 beginning with Crown Records Management locations in Malaysia, the United Kingdom and the United States. Crown is currently working on adding reporting abilities to RMi to provide clients with up-to-the-minute metrics about their records in storage and their relationship with Crown.
