View from the Board: Access When You Need It
We are proud to be celebrating our 25th year serving clients in the records management industry. There have been many changes over the years. Technology, for example, is constantly improving, providing records management professionals with more efficient tools to help them better manage their business information. In 2001, the Enron/Andersen scandal led to strict regulations which had a profound effect on the way business information is managed. And most recently, climate changes and natural disasters have dominated the media.
All of these changes have caused the industry to take the process of records management more seriously. Like our clients, we have adapted to these changes. We understand that what our clients need the most is for their employees to have access to their business records, whenever they need them, regardless of external influences.
New technologies have enabled organizations to store their business records off-site without losing the ability to access them quickly and easily. We use CrownInteract to help our clients manage their records online. Clients can retrieve information about their business records in real-time, generate reports and have access to that information 24 hours a day, 7 days a week.
Organizations are increasingly implementing Business Continuity Plans as a way to help them recover and restore their operations and their records, should an unforeseen event cause a disruption to their business. During a time of crisis, being able to get the “right information” to the “right people” at the “right time” is an important step in the recovery process. This issue of The Global Record discusses strategies for integrating records management policies into Business Continuity Planning.
Our most recent example of adapting to a changing world and a changing industry is our investment in battery operated vehicles and the integration of motorcycles into our fleets. In addition to using less fuel and reducing carbon emissions, motorcycles also allow us to retrieve and deliver records to our clients even faster. We are also increasing our “scan on demand” capabilities which will reduce the number of physical deliveries and lower our emissions even further. These are just some of the strategies we have employed under our corporate social responsibility efforts and you can read more about them in this newsletter.
