Crown’s primary concern will always be the safety and wellbeing of our employees, customers and business partners. Basic personal hygiene measures are being reinforced with our employees and external service providers to minimise potential virus transmission. We have tested and have contingency to transfer the full customer support functions including customer success, system support and account management to full-time-at-home working, and are ready to deploy should the situation change.

Like most of our clients, Crown’s business activities require compliance with government-enforced safety measures, restrictions and requirements. In conjunction with these, Crown has implemented our Business Continuity and Pandemic planning directives, to ensure that we are able to support you as best as possible. We have highlighted some of our preventative measures below.

At this difficult time, we want to ensure absolute transparency. Crown Records Management have prepared an up-to-date pandemic plan. If you require a copy of this, please reach out to your local account manager.

Steps include

Some of the basic steps include, but are not restricted to the following:

  • Minimising workplace footfall – we only have essential office-based team members in the office and these are working 50% from home on a rotational basis
  • Controlling access to our facilities for guests and suppliers
  • Enforcing social distancing
  • Avoiding meeting people face-to-face
  • If a face-to-face meeting with people is unavoidable, avoid shaking hands, minimise the meeting time, choose a large meeting room and sit at least two metres (or as far as possible) away from each other. Consider holding meetings in the open air
  • Avoiding any unnecessary travel and cancel or postpone all non-essential meetings
  • Mobilisation of personnel to areas of most need as appropriate

As the situation is fluid, we are continually reviewing the situation and will take any additional steps that may be needed as and when the situation changes. We will keep individuals and their organisations informed on any changes to timelines.

Enhanced services to minimise contact with external sources

We are adjusting our delivery services to ensure the safety of our staff and yours. All personnel are being issued with Personal Protective Equipment and we are enforcing a ‘no-sign’ policy, whereby our driver will record the delivery of items rather than securing a signature from the client.

We have put our scan on demand services in place for the delivery of files, and are working to secure home delivery of physical files should this be a requirement. Please contact your account manager if you would like to avail yourself of these services.

Feeling unwell….

Notices have been posted at all Crown facility entry points, advising staff and visitors not to enter if they have symptoms. Employees are advised not to come to work if they are feeling unwell, particularly if they are exhibiting any of the Coronavirus symptoms. Workers who become ill will be instructed to go home or stay at home, until symptoms are resolved. We will ensure that any ill employees have completed the required quarantine period and are healthy before allowing them to return to work.

Our people

We are providing regular updates and holding team meetings to update everyone on the changes in the government guidelines and regulations. We are providing advice and support to our managers and team members so that they are aware of how this situation affects them.

We are:

  • Encouraging staff to avoid recreational or other leisure classes / meetings etc. where they might meet infectious people
  • Avoiding public transport where possible: walk, cycle, drive a car or go early or late to avoid rush hour crowding on public transport
  • Not congregating in tearooms or other areas where people socialise
  • Practicing good personal hygiene and workplace cleaning habits
  • Advising use of the telephone, email and chat platforms, as much as possible – even when participants are in the same building

Visitor and suppliers

All non-essential meetings have been cancelled.

Anyone wishing to visit our facilities will be required to sign a declaration confirming that they do not have any known symptoms of the Coronavirus and that they have not knowingly met with anyone exhibiting the symptoms.

This is a constantly changing scenario and we will do our upmost to keep you updated with any changes as soon as we are able to, either by web-posting details on our website, or via direct communication from our business.
