Revealing the advantages of green invoicing: How going digital is reshaping U.K. business

For this white paper, we held four interviews to find out what difficulties, challenges and advantages the company faced in the U.K., North America, South-East Asia and India implementing electronic invoicing. In this series of articles, we will further explore the stories of electronic invoicing across the world for Crown, outlining the benefits in terms of cost-saving and more.

Claire Allinson, Accounts Manager for Crown Records Management in the U.K. had her say. Claire has been at the forefront of electronic invoicing in her region and sees huge dividends from its implementation. In this interview, she started by informing us that the U.K. produces 70 percent of Invoicing electronically while globally, the figure sits at around 45-50 percent.

As for day to day problems associated with physical invoicing, Claire explained, it increases carbon footprint, of course maintaining the costs of higher printing and postage costs – occasionally getting lost. Environmental benefits impacted the quick adoption of digital invoicing. For Claire, the green agenda is “essential.” Explaining that “[following a green agenda] counteracts negative impacts on the environment and can only be a good thing for future generations.”

With all business initiatives, we expect to see benefits. The business advantages surrounding digital invoicing are “significant.” It’s not just about following the benefits address several other problems associated with physical invoicing. To name just a few: Digital invoices don’t get lost, the time taken for payment to be received is reduced, fewer production costs and a decrease in our carbon footprint.   

Most importantly we wanted to find out how the clients reacted to the change. Claire has seen a noticeable shift in the number of clients asking for hard copy and believes we are moving towards a future of 100 percent electronic invoicing. In other words, this is something driven by both clients and suppliers.

The initiative to move towards green invoicing has been very successful in the U.K. In comparison to some of the other regions, the shift there has been smoother, and clients are compliant with the change. As we’ll see in following articles though, this isn’t true everywhere.
