Project Snapshot

  • Client: Bahrain-based Non-Profit Organisation (Association Sector)
  • Location: Bahrain
  • Documents Digitised: 200,000+ images
  • Solution: Bilingual OCR digitisation + OneDrive cloud storage
  • Key Results: Instant document retrieval, improved organisation, reduced physical storage

Background

Our client is a well-established non-profit organisation based in Bahrain, with over 70 years of operational history. Over time, the organisation accumulated a substantial archive of records documenting its administrative activities, financial operations, human resources, community programmes, and historical milestones.

This archive included a mix of modern business records and historically significant documents, such as photographs and event documentation, forming a valuable institutional memory.

As the volume and importance of these records grew, the organisation required a more efficient and structured approach to preserving, managing, and accessing its information.

The Client’s Challenge

Our client relied heavily on physical record-keeping, with decades of documents stored across multiple locations.

Locating specific files was often difficult and time-consuming, requiring manual searches through cabinets and storage areas. In many cases, retrieving a single document could take significant effort, impacting operational efficiency and delaying access to important information.

In addition:

  • Records were not consistently organised or indexed, making search and retrieval inefficient
  • Physical storage occupied valuable space that could otherwise support community activities and operations
  • Manual processes increased the risk of misplaced or lost documents, particularly for sensitive records such as member, HR, and financial files
  • Historical archives, including photographs and legacy documents, were at risk of deterioration or loss over time

The organisation needed a secure and structured solution to preserve its records, improve accessibility, and reduce reliance on manual, paper-based processes.

The Solution

Our client partnered with Crown Information Management to deliver a large-scale document digitisation and archival solution.

Crown digitised over 200,000 records, including:

> Administrative and operational records

> Financial and HR documents

> Community programme documentation

> Historical archives and photographs spanning over 70 years

Each document was scanned and processed using bilingual Optical Character Recognition (OCR) technology, enabling both Arabic and English text to be fully searchable.

To enhance accessibility and organisation, structured metadata indexing and logical file structuring were applied, ensuring documents could be easily categorised and retrieved.

All digitised files were handled using secure processes and then uploaded directly into the client’s OneDrive cloud storage environment, enabling:

  • Secure, centralised access
  • Remote availability from any location
  • Improved file organisation and control

The Results

The digitisation initiative transformed how the organisation manages and accesses both operational and historical information.

With all records available in digital format, staff can now retrieve documents instantly, eliminating the need for manual searches through physical archives.

The solution delivered several key improvements:

  • Faster document retrieval, reducing search times from manual effort to instant access
  • Improved organisation and file structure, enabling easy navigation of decades of records
  • Significant reduction in physical storage requirements, freeing space for operational and community use
  • Preservation of historical records, protecting valuable archives from damage or loss
  • Secure and remote accessibility, enabling staff to access files anytime via OneDrive

Our client now benefits from a more efficient, scalable, and secure records management approach, supporting both day-to-day operations and long-term archival preservation.
