Background
Our client is a leading real estate development and investment company in Bahrain, managing a diverse portfolio of projects, assets, and operations. Across departments such as administration, finance, HR, projects, and property management, the organisation generated and maintained a substantial volume of records.
Over time, this resulted in a large and complex archive of physical documents critical to business operations, compliance, and decision-making.
To support continued growth and operational efficiency, the company required a more structured and scalable approach to information and records management.
The Client’s Challenge
Our client relied heavily on physical document storage across multiple departments, with millions of records maintained in archive facilities.
Many of these records lacked consistent indexing or structure, making it difficult to locate and manage information efficiently. This led to several operational challenges:
- Slow document retrieval, requiring manual searches through large volumes of files
- Limited visibility and control, with no centralised view of records across departments
- Storage constraints, as physical archives occupied significant space and incurred ongoing costs

In addition, the business needed to better understand its records in order to make informed decisions about what to retain, digitise, or securely dispose of.
The Solution
Our client partnered with Crown Information Management Bahrain to implement a phased records management and digitisation programme.
Phase 1: Physical Records Optimisation
Crown first assessed and restructured the existing physical archive by:
> Introducing structured indexing and classification systems
> Applying barcode tracking to each file
> Improving visibility and control through a centralised inventory
This enabled the company to accurately assess its records and determine which files should be retained, digitised, or securely destroyed.
Phase 2: Digitisation and Secure Disposal
Once categorised, Crown:
> Digitised selected files using high-quality scanning with OCR, enabling keyword-based search
> Applied structured metadata indexing to ensure fast and accurate retrieval
> Uploaded digital files to the client’s SharePoint environment, providing secure and accessible document management
> Carried out secure shredding and destruction of outdated records in line with compliance standards
Ongoing Records Management
> Physical records were securely stored at Crown facilities
> The company gained full visibility and control through the ASTRA system, including tiered user access and permissions
> The solution was delivered across multiple departments in phases, ensuring minimal disruption to operations
