Effective human resource management is critical in today’s fast changing business environment. HR teams need to be able to bring candidates on board quickly and efficiently, with clearly documented training paths. With the advent of data protection regulations, departments need fast, centralised access to personnel files, regardless of their format, with the assurance of role-based permissions, encryption and compliance with data regulations.

Crown’s digital candidate management solutions, digital personnel file and training management software, powered by ELO, provide essential modules for efficient HR work.

  1. Efficient Processes

Automating processes improves productivity and reduces costs.

  2. Powerful search

Smart-search tools ensure that all the information need is literally at your fingertips.

  3. Integrated third-party systems

Seamlessly integrate with third-party applications, enabling information exchange between systems.

  4. Lower overheads

Do away with paper-based filing systems, which are expensive and difficult to manage.

Our digital candidate management solution streamlines your hiring process.

The software allows you to submit personnel requests, accept applications and transfer candidate information to your master HR system or the digital personnel file.

  • All data collected during the hiring process goes into the digital candidate file
  • Different dashboard views make your daily tasks easier
  • Candidate ranking, deadlines and job postings are available at a glance
  • Solution provides options for filtering the status of the hiring process
  1. Personnel Request
One click is all it takes to create a personnel hire request and forward it for approval. Another click ensures the HR department approve the request and create a job description.
  2. Posting
Easy publishing of job postings: on your website, the internal job portal, or external job platforms. Candidates can register on your job portal and apply for the position there.
  3. Candidate Management
Capture incoming applications digitally and manage all data in a central candidate file. Use ratings to rank who best fits the profile, then drag and drop candidate profiles to different application phases.
Candidate data is archived, structured, and organised, and master data only must be entered once.
  4. Correspondence
Customisable correspondence templates make candidate communication easy. Send automated confirmations of receipt, invitations, and rejections via e-mail. All communication with the candidate is stored in the central candidate file.
  5. Hiring
An easy start to the onboarding process: Import the candidate data to the employment contract and create a digital personnel file. Hire your preferred candidate, welcome new employees with a personalised onboarding process, and transfer candidate information to your master HR system or Crown HR Personnel File.

The Digital Personnel File module ensures all the data from the hiring process goes into the digital employee file, providing secure storage of employee records, with controlled access.

Use the software to scan or migrate existing paper records. Create electronic personnel files and centralise all documents, regardless of format, in one secure location. Role-based permissions and encryption technology ensure compliance with data protection and other legislation.

  • Create master files and trigger processes from an employee’s first day to their last day on the job.
  • Checklists ensure that you keep a continual overview of what needs to be done.
  • Ensure GDPR compliance.
  • Automated notifications and alerts ensure you don’t miss any important deadlines

How it works:

  1. Scan and digitise existing hard-copy files
Existing physical employee files can be scanned from hard copy or digitally migrated, using OCR technology, to automatically reference documents into the digital HR Personnel File.
  2. The HR Dashboard
Keep important information in personnel files at your fingertips. View relevant employee data on a convenient dashboard, which can be filtered by status, e.g. new hires, active, inactive, terminated. Set permissions to control access to teams and employee data and generate statistics.
  3. The Organisation Chart
Create an organisation chart with as many hierarchies as you want. View breakdowns of your company’s personnel structure as well as organisational hierarchies with divisions, departments and teams. Update position data in the employee’s personnel file and define responsibilities.
  4. Easy Access to files
A simple process to access files: department heads or employees request access to a personnel file. The HR department then receives the request and grants access. Any confidential documents are removed before the file is issued, the person submitting the request then receives a copy of the file and copies are automatically deleted after a set amount of time, ensuring compliance with data regulations.
  5. Change requests
An easy process for changes: an employee submits a request to change data, the system makes the data available for review by the employee who then updates the information. The change is then submitted to the HR department, and once approved, the data is automatically amended in the personnel file.

Our software offers a modern learning management system, combining a learning platform with a session management tool. This user-friendly, intelligent solution automates the processes of organising, carrying out, and analysing training course results.

Social learning elements actively involve participants in the course, creating motivating training experiences.

  • Course management with full transparency and user paths
  • Intuitive learning portal with social learning
  • Automatically created course certificates
  • Post course analysis

How it works:

  1. Create different course formats
Choose from four different course formats: online, face to face, virtual classroom or a combination, then store these in a course folder.
  2. Create learning paths, define requirements
Define the learning path employees need to adopt and issue certificates once completed.
  3. Invite and add participants
Participants can enrol in the course easily, with invitations sent by email.
  4. The Learning Portal: What your participants can now see
The course catalogue shows the entire offering or specific courses depending on the user’s permissions. Participants can find all their current enrolments under “My courses”, with visibility of their learning paths and certificates they have been awarded.
  5. The Learning Portal: Social learning enhances your e-learning course
Integration with the Knowledge Management software gives participants access to a community where they can interact and discuss topics together.
  6. Issue certificates and confirmation of participation
Immediately document when participants complete an e-learning course and issue automatic templated certificates. Participants’ documentation is stored in the learning portal; the corresponding course folder.
  7. In-depth course analysis
Templates are available for any post-training tasks, with data and insights able to be analysed. Access to course folders is controlled using permissions and roles.
